Turning discussion into a record.

FROM A TRANSCRIPT

"Summarise this meeting. List: decisions made, actions with owners, open questions, and anything requiring follow-up."

That structure is more useful than a narrative summary.

WHAT MATTERS MOST

Actions with owners and dates. Everything else is context.

FROM ROUGH NOTES

"Here are my notes from a meeting. Produce a clear summary with decisions and actions."

WHAT TO CHECK

Who agreed to what. Misattributed actions cause real problems. Dates and deadlines Anything recorded as a decision that was actually a discussion

That last one matters. Models readily convert "we should probably" into "it was decided".

WHAT NOT TO DO

Circulate without reading. A summary recording a decision that was not made creates confusion at best.

FOR RECORDED MEETINGS

Tell participants they are being recorded and transcribed. In many contexts that is a requirement.

FOR SENSITIVE MEETINGS

Consider whether the content should go to an AI service at all.
