Business correspondence is a record, and sometimes evidence.
WHY IT MATTERS
Contracts, agreements and instructions are frequently formed by email Tax and regulatory obligations may require records be kept for a period A dispute usually turns on what was agreed, and email is the evidence
PRACTICAL GUIDANCE
Decide how long to keep business correspondence, and apply it consistently Archive rather than delete anything contractual, financial or contentious Keep the archive somewhere the business controls, not only on an individual's laptop Do not delete mail once a dispute is foreseeable
PRIVACY OBLIGATIONS
If mailboxes hold personal data about customers, you have obligations under the NDPR in Nigeria and other laws where you serve customers elsewhere. Do not keep customer data indefinitely without reason, and protect access to it.
WHAT WE CAN AND CANNOT DO
We can restore from a backup within your plan's retention. We cannot recover mail from a terminated account, and we are not an archive service.
This is general guidance, not legal advice. For anything contentious, take proper advice.
