Outlook's automatic setup often guesses wrongly. Manual configuration is faster.
THE STEPS
- File > Add Account.
- Enter the email address, then click Advanced options and tick "Let me set up my account manually".
- Choose IMAP.
- Incoming: mail.yourdomain.com, port 993, encryption SSL/TLS.
- Outgoing: mail.yourdomain.com, port 465, encryption SSL/TLS.
- Enter the password when prompted. The username is the full email address.
- Finish and send a test message.
IF SETUP FAILS
Outlook sometimes caches a failed attempt. Remove the account entirely, close Outlook, reopen and try again rather than editing the broken one.
Try port 587 with STARTTLS for outgoing if 465 is refused by your network.
OUTLOOK-SPECIFIC ISSUES
Outlook keeps a local data file. If it grows very large, performance suffers; archive old mail periodically. Outlook may keep a deleted account's data file. Removing the account does not always remove the file. If Outlook repeatedly prompts for a password that you know is correct, remove the saved credential from Windows Credential Manager and let it ask afresh.
