A common problem here.

WHAT HAPPENS

A customer sends a screenshot appearing to show a completed transfer.

You dispatch the goods. The money never arrives.

WHY IT IS COMMON

Screenshots are trivially altered.

Many businesses accept them because refusing feels distrustful.

THE RULE

Confirm funds in your own account.

Never on a screenshot, a transaction reference, or a message from the customer.

WHAT ALSO LOOKS CONVINCING

A transfer that was initiated and then reversed A transfer to a similar account name A transfer notification message that was forged

WHAT TO CHECK

Your own bank app or statement The amount The sender That the funds have arrived, not merely been initiated

THAT LAST POINT

Initiated is not received. Some transfers fail after the sender sees confirmation.

HOW TO SAY IT POLITELY

"I will confirm as soon as it reflects in our account and dispatch immediately."

Nobody legitimate objects.

WHAT TO TELL STAFF

This rule has no exceptions.
