WHAT SCALES EASILY
Disk and bandwidth. Upgrade the plan. Account creation. Automate it with a billing system. Invoicing and reminders. Same.
WHAT DOES NOT SCALE
Your time. Support requests grow with client numbers, and they do not arrive at convenient hours. Your knowledge of each site. At twenty accounts you remember them; at eighty you do not, which is why records matter. Your tolerance for interruption.
PLANNING FOR IT
Automate billing and provisioning before you need to, not after the admin becomes the bottleneck.
Write standard documents: onboarding, mail settings, nameservers, support scope. Most support is the same questions.
Define support hours and stick to them. Availability at all hours is unsustainable and clients will calibrate to whatever you allow. Price for support time, not disk space. Decide whether you want a hosting business or a design business with hosting attached. They pull in different directions.
WHEN TO HIRE OR STOP
When support consistently displaces billable work. Either bring someone in, raise prices to reduce volume, or stop taking new clients.
