The difficult message.

THE STRUCTURE

What is changing When Briefly why What they should do, if anything

Four lines. Not a page of justification.

THE WORDING

"From the first of March, hosting will increase from X to Y. Costs have risen and prices have been unchanged since 2023. Your service is unaffected and nothing needs doing at your end."

NOTICE PERIOD

Sixty days is reasonable. Enough that it does not feel imposed.

WHAT NOT TO DO

Over-explain. A paragraph of justification invites negotiation. Apologise extensively, which suggests you doubt the decision. Announce it with the invoice, which feels like a surprise charge.

WHAT TO EXPECT

Most clients accept without response. A few ask. A small number leave.

IF SOMEONE ASKS

Answer briefly and hold the position. Making an exception for the client who asked teaches them to ask again.

IF SOMEONE THREATENS TO LEAVE

Let them, politely. A client retained by a discount is a client at the old price permanently.

WHAT MAKES IT EASIER

Having added value since the last price. Mention it if true.
